Nintex Workflow Cloud Feature Overview

When I mention Nintex Workflow Cloud to fellow SharePoint users, they are always interested and want to know more about what it is all about and what you can do with it.  In this blog post, I am going to highlight some of the key features of Nintex Workflow Cloud.

Forms

Forms have long been a feature of the Nintex product suite.  They trigger just about every business process, so you can’t think about workflow automation without considering forms.  Nintex Workflow Cloud now makes it really convenient to design and connect a form to a process from directly inside the workflow designer, which in turn makes it easy to use the form data within the workflow.  Designers can choose between anonymous form submission or select a more secure access point through the Nintex Mobile App.

Nintex forms are also responsive by default and provide the opportunity for the designer to brand the form.

Document Generation

If you are not familiar with this concept, Nintex Document Generation is actually quite powerful.  It automates the creation of data-driven documents using Salesforce, SharePoint or Office 365 at the click of a button.  Some new features that have been released since the service was launched:

  • Support for multiple templates
  • Conditional inclusion of templates
  • Support for multiple file output formats

Tasks

Many processes involve the assignment and management of tasks or work that needs to be done.  New features include

  • Enabled a new workflow assignment action called “Assign a Task”.
  • Made task outcomes more intuitive by moving the task outcomes field to the outcomes section in configuration for the Express Approval action
  • Improves the express Approval experience by ensuring the default text size and font are consistent

File Management

Most processes involve some sort of file, a Word document, spreadsheet, PDF, etc.  Two new features have been added to the service to make file management easy:

  • Support for the use of file collections in ‘Express Approval” and “Send an email” actions.  File collections provide the workflow designer a easy way to manage multiple files within a workflow.  For instance a designer could attach  a file collection in one step instead of adding individual files
  • Support for the use of file collections in the “Store a File” action for Box, Dropbox, One Drive, Google Drive and Citrix Fileshare.

Nintex Workflow Cloud does not physically store files. Instead, the service provides the ability to store files in an external repository such as One Drive.

E-signature

Some processes require a legally binding signature. Examples include approving a purchase, closing a sale, or signing an agreement.  Adding an e-signature step can greatly accelerate and improve a process.  New features include:

  • Support for multiple recipients/signers in the Adobe “Get signature” action
  • Improved action store output picker in Adobe Get Signature lets a designer capture additional output metadata
  • Improved the DocuSign experience by exporting signed files to a collection as an output variable

Workflow Service

You can easily trigger a workflow from any external system or application by configuring a workflow to be started externally

CRM

New CRM related features include improved user experience in Salesforce and Microsoft Dynamics.
